NEW YEAR, NEW SYSTEMS! The AIT staff, in partnership with numerous key stakeholders across campus, have been diligently working on upgrades to several of Wheaton College’s critical IT systems including:  All of these projects are at various stages, some are close to wrapping up and others are just beginning.  Where do you go to find info & updates on each project? After that installation, you may see a pop up asking you if you want to trust this certificate.  Please go ahead and “trust” that certificate, when prompted. Key Benefits and Features Keeping your data safe on eduroam wireless Impact on College Community Next time you connect your device to eduroam, you will want to accept the pop up.  This update is part of our ongoing effort to keep our campus safe.  We encourage you to be vigilant about cybersecurity, which is why we wanted to let you know about this change.  You may be prompted to login again after “trusting” the Wi-Fi.  Feel free to do that with your Wheaton College email address and password. Google Storage Limit Now in Effect Effective Date: May 17, 2022 Beginning on May 17, 2022, we will be enforcing a 50 GB limit for Google storage for all my.wheaton.edu addresses. This is due to Google Workspace for Education (formerly known as G Suite for Education) doing away with unlimited storage. To prepare for this change people need to review their current storage usage and delete any unnecessary files in Drive, Gmail, and Photos. Key Benefits and Features This change will keep costs low while also providing adequate storage for our constituents. What’s Special about February? Five years ago, with the help of our virtual Chief Information Security Officer (CISO), GreyCastle Security, we created the inaugural Data Steward program at Wheaton College.  Although other colleges use the phrase “data owners” we were thinking in the same sort of terms that we use for money—we see our money as a gift from God which we have been entrusted to steward wisely.  We, arguably, do not “own” it.  Similarly, College data isn’t really “owned” by a particular person or group, but it needs to be managed and cared for, or stewarded, well. Each year in February the 22 twenty-two different areas are tasked with carefully reviewing the Data Assets Inventory, making sure records of vendor relationships are up-to-date, and checking the permissions for accessing and viewing filed in Box. For example, it’s a good time to see who has permissions to various information.  Did an employee retire this year?  Then there’s no reason for him or her to still have access to records in Banner, for example.  Having a yearly rhythm provides a regular time to look over those sorts of details and ensure things are safe and up-to-date. Although you may not be a data steward yourself, there are some practical things you can do to help protect college data.  For example, perhaps you have a monthly report that you need to share with a colleague in Box.  Get into the habit of creating an ‘expiration date’ for the links you make to send to your colleague.  That way, on a particular day the link will no longer be active, and you won’t need to remember to go back later and remove access/permissions to that document.  Small changes like that can help keep everyone’s data safer. LinkedIn Learning Event Student Government hosted a LinkedIn Learning event (sponsored by AIT) on Friday, February 11, in Lower Beamer.  Over 130 students stopped by to log into LinkedIn Learning for the first time (or again if they’d already used it) and had their names entered into a raffle for some cool prizes!  Congratulations to the winners from the drawing!  Nancy Taylor won the AirPods, the JBL Speaker went to Kathryn Skinner, Edward Carrington won an Echo Dot! Meet Dr. Alan Wolff, CIO Our new Chief Information Officer (CIO), Dr. Alan Wolff, started working at Wheaton College on January 18th.  He comes to us from Northwestern University. Why were you interested in working at Wheaton College? I have been working in information technology (IT) nearly my whole career both as a practitioner and an educator. At the same time, I have been involved with student ministry. Working as CIO at Wheaton College perfectly channels these two passions into one. I love Wheaton College’s mission of serving Christ and His kingdom through a high-quality faith-based liberal arts education and am eager to utilize the skills God has given me and that I have acquired throughout my career to serve the students and the whole community at Wheaton College. What are you most excited about as you look ahead at this year in your new role? Although I come into this job with many years of related experience, I am most excited about the opportunity to continue to grow in my career and as a person. Wheaton College is a unique place. As I meet the people and learn the culture, I can most effectively fulfill my CIO role, strategically applying technological solutions where needed. There is so much to learn on a personal level as well: when the time is right, I’d like to take some classes and perhaps even pursue another degree, God willing.  What’s your favorite Bon Appetit meal/dessert so far? They all have been great! The meals have been consistently delicious. And there has been such a variety that I don’t think I have had the same thing multiple times. I have become a lunchtime regular. Soups, salads, Pan Asian, Sabor, Classics, Cucina and the rest- C'est délicieux! What can you tell us about your family? I and my wife Vivian have been married for 33 years. We have been blessed with four wonderful children: Sarah, Esther, Grace, and David. What are some challenges you see at Wheaton College? The biggest challenge for me is AIT providing excellent service within resource constraints. The other constant tension in IT is maintaining a top-notch cybersecurity program while at the same time offering systems that are accessible and convenient. College-wide, two major challenges are enrollment and faithfulness to the Christian calling. I am eager to work with our admissions and academic units to continue to attract students and deliver the best Christian education. I am also looking forward to partnering with my brothers and sisters across the college to make Christ’s grace known in an even greater way in our community and beyond. What role do you see technology playing in higher education today? Technology is not always constructive, but it can help immensely in many areas. The best way for faculty to engage with students is often on a person-to-person basis but technology can be used to provide students with easier access to information and software tools and can bring people together virtually when needed (as we experienced during the pandemic). Technology can also make the processes that support students, faculty, and staff more efficient—something we expect with the migration of our antiquated administrative systems to more robust cloud-based software. It also gives us more and better data to improve our decision making. Because of the ubiquity of technology in the workplace, exposing students to different technologies while they are in college prepares them better for life after graduation. What’s something unusual you’ve noticed about Wheaton that those of us who have been here for a while don’t think is odd? Two items come to mind. First, I have been impressed that most faculty and staff at Wheaton College regard their job as part of their calling. Because of this, they are loyal and faithful to carry out their duties even when it gets difficult. Although we may have our share of issues, it is refreshing to see the cheerful devotion of so many people. Second, this is a very tight-knit community with deep connections. One example is the group of current staff (at least 5 of them) who graduated from Wheaton in 1984 and get together in the dining hall every month for lunch. Also, many staff have spouses also working at Wheaton College and have children who are either currently students or Wheaton alums. This is a wonderful aspect of my employment here—my wife is now a Wheaton College employee too and we often eat lunch together in the dining hall. We are so grateful to have Alan here in this important role at Wheaton College.  Welcome, Alan!  May the LORD bless you and your work here. Duo Successfully Rolled Out to Students On Tuesday, February 22, we rolled out Duo Multi-Factor Authentication for all graduate and undergraduate students at Wheaton College.  This means that all faculty, staff, and students are now protected by Duo when logging into the Wheaton Portal and most of the apps (such as Schoology and BannerWeb) which are accessed via the Portal. Natalie Hellier (a second year Master’s student in the HESD program) told AIT the following: “This was a super, super simple set up process! Thanks for making it easy for us to protect Wheaton! :)”  That is the kind of feedback that we love to hear!  Now is a good time to remind you that you should never approve a Duo Push if you did not request it.  If a Duo Push comes through that you do not expect, go ahead and deny it.  That means whatever nefarious person (or bot) that is trying to get into a system in your name will not be able to do so.  And that keeps us all a little bit safer. Change to Google Storage Limits Effective Date: June 1, 2022 Google recently announced that new storage limits for Google Workspace for Education (formerly known as G Suite for Education) will take effect in July 2022. At that time, Wheaton College gmail users will no longer have unlimited storage for Google Drive, Gmail, and Google Photos. To prepare for this change people need to review their current storage usage and delete any unnecessary files in Drive, Gmail, and Photos. This means that by June 1, 2022, each my.wheaton.edu account holder can use no more than 50 GB of storage.  How to prepare: To confirm how much storage you’re using, go to https://drive.google.com/settings/storage. To review and delete large or unnecessary files in Drive, go to https://drive.google.com/drive/quota. To review and delete large or unnecessary files in shared drives, go to https://drive.google.com/drive/shared-drives. Consider deleting Drive content that you may have copied to a shared drive. If a file resides in 2 locations, it may be consuming twice the storage space. To search for and delete unnecessary or large emails, go to Manage files in your Google Drive storage and follow the instructions for Gmail. As long as you’re under the 50 GB limit, nothing to worry about!  We will reach out individually to those who are over the limit. Introducing Duo Two Factor Authentication for Students Effective Date: February 22, 2022 We are pleased to announce that in late February 2022, we will roll out Duo Two-Factor Authentication for students to help protect you and our College data.    In order to prepare for that transition, all students will need to take a few minutes to enroll in Duo.  We will be sending out emails to tell you about the actions you’ll need to take to enroll.  It is a quick and simple process, and we think you’ll be pleased with how user-friendly Duo is! More information will be forthcoming.  Below are some of the frequently asked questions regarding the Duo system. Frequently Asked Questions Why are we switching to Duo? Duo helps protect your sensitive data by requiring a second step when you connect to a Duo-protected Wheaton system. The first step is typically entering your username and password. The second step is accepting a notification from Duo to confirm it’s you trying to login. Duo Push makes that second step as simple as touching “Accept” when prompted by the Duo app on your Smartphone.  As a result, even if a criminal manages to steal your password, they will not be able to access your data thanks to Duo. Do I need a smartphone or data plan to use two-factor authentication? No. Having a smartphone makes for a MUCH easier and more secure experience with Duo Push. But if you do not have a smartphone, please contact the AIT Service Desk (630-752-4357) and they will work with you find the best solution for you to use Duo. What do I do if I don’t have my cell phone with me?  Contact the AIT Service Desk and they will be able to help you access your data, as needed, for the day.  However, you should do your best to have your smartphone with you whenever you anticipate needing to access a Wheaton system. What is Duo Mobile? Duo Mobile is an application (app) that you install on your smartphone or tablet to generate passcodes for login or to receive push notifications for easy, one-tap authentication on your mobile device. It works with Duo Security’s two-factor authentication (2FA) service to make your logins more secure. What is the recommended two-factor authentication method? If you have a smartphone or tablet, we strongly recommend Duo Push, as it is quick, easy-to-use, and secure. See an introduction to Duo Security and a demonstration of Duo Push in this short video: https://www.youtube.com/watch?v=_T_sJXnSM98 How much data does a Duo Push request use? Duo Push authentication requests require a minimal amount of data -- less than 2KB per authentication. For example, you would have to authenticate over 500 times in a 30-day period to consume a full megabyte of data.  Also, Duo uses no cellular data when you are connected to WiFi. Why have I stopped receiving push notifications from Duo Mobile? There are several reasons this could happen. Please try the following to troubleshoot: Make sure your enrolled device has a cellular network or WiFi connection. Although it shouldn’t be necessary, try to have the Duo Mobile app open when you authenticate. Try these additional push troubleshooting steps: iPhone: https://help.duo.com/s/article/2051 Android: https://help.duo.com/s/article/2050 If the above solutions don’t work, try using another authentication method, such as passcodes provided in the Duo Mobile app. How can I authenticate if I’m somewhere with no cell signal or WiFi access? It’s easy!  Just use the passcode in the Duo Mobile app.  You can do this when on an airplane, or in a place with unreliable cell service.  See this Duo Knowledge Base article for information on authenticating without cell or internet service: https://help.duo.com/s/article/4449 How can I manage the devices I use for Duo? Login to a Wheaton system protected by Duo, then choose the “My Settings & Devices” link (Duo self-service) at the Duo prompt. Several options are available: Add additional devices Designate your “default” device that receives authentication requests in addition to your preferred authentication method Deactivate Duo Mobile if you got a new phone but kept your number Change the name of your device (ex. “Personal Cell”) Remove a device Learn more about managing your devices here: https://guide.duo.com/manage-devices What should I do if I lost my phone? Please contact the AIT Service Desk immediately at 630-752-4357 or ait.service.desk@wheaton.edu. Can Duo see my password? No. Your password is only verified by your organization and is never sent to Duo. Duo provides only the second factor, using your enrolled device to verify it’s actually you who is logging in. Does using Duo give up control of my smartphone? No. The Duo Mobile app has no access to change settings or remotely wipe your phone. The visibility Duo Mobile requires is to verify the security of your device, such as OS version, device encryption status, screen lock, etc. We use this to help recommend security improvements to your device. You always are in control of whether or not you take action on these recommendations. Campus Cable TV Being Discontinued Effective Date: January 7, 2022 On January 7, 2022, AIT will turn off our campus cable TV system. Some of the antiquated equipment has failed and the prolific availability of streaming services renders this service obsolete. Furthermore, access to premium cable TV channels from Dish Network was discontinued in July 2020. Consequently, we will no longer offer this service to the campus. Information Security Policy Effective Date: December 1, 2021 After approval from the Technology@Wheaton governance committees and review from our legal counsel and SAC, we have finalized the Wheaton College Information Security Policy.  As it states, “The purpose of this Information Security Policy is to clearly establish Wheaton College’s role in protecting its information assets and communicate minimum expectations for meeting these requirements.”  Anyone with Wheaton College credentials is welcome to read through the policy and familiarize themselves with it. Key Benefits and Features This provides a framework for the college’s comprehensive information security program based on NIST standards and helps comply with regulatory and statutory security requirements. Impact on College Community While everyone at Wheaton College plays a role in protecting Wheaton’s information assets, this policy primarily impacts AIT as it manages the information systems and vendor relationships that affect college data, and the data stewards charged with managing data under their purview. What does STAASAC stand for? STAASAC (pronounced “STAY-sack”) is the Student Technology and Auxiliary Services Advisory Committee.  This group of thirteen students (our largest group ever!) is chaired by Mia Posey, Student Government Executive Vice President of Technology and Campus Services.  They represent you as part of the technology governance structure of Wheaton College. They meet once a quad with representatives from AIT and Auxiliary Services to discuss related issues that affect both undergraduate and graduate students. For example, at a recent meeting, STAASAC was asked for input on which outdoor campus locations need better/stronger Wi-Fi.  We hope to make these changes in the spring so by the time it is nice enough to study outside again (April?  Maybe March if we’re extra blessed?) there should be stronger Wi-Fi on the Traber/Smith front lawn, among other places. Take a minute to see who the student representatives on STAASAC are.  You are welcome to reach out to any of them with questions/concerns on any technology or Auxiliary Services-related topic.  This group provides input on things like updating CPO hours and creating a faux app for the Wheaton Portal to use on your mobile devices.  They can bring any questions or concerns you have to the attention of AIT or Auxiliary Services. Love to Learn?  You’re in Luck! A few years ago, Wheaton College negotiated a terrific deal with LinkedIn Learning.  Partnering with several nearby colleges/universities, we contracted with LinkedIn Learning to have their resources available to all our faculty, staff, and students.  That means that you, as a student, have access to this incredible library for free! To encourage you all to take advantage of this, Student Government will host a LinkedIn Learning event sponsored by AIT.  Tentatively scheduled for Friday, January 21, in Lower Beamer, the event will include the opportunity to log into LinkedIn Learning for the first time (or again if you’ve already used it) and see the plethora of topics available to hone your skills.  Every student who stops by the table and participates can enter a raffle for some cool prizes such as AirPods or a Google Home Mini!  More information will be coming later. While you’re waiting for that event, now is a great time to check out what LinkedIn Learning has to offer!  From hard skills (how do I make a pivot table in Excel?) to soft skills (How can I prepare for a difficult conversation?) LinkedIn Learning has short videos to quickly teach you something new.  You can also add certificates of completed courses to your LinkedIn profile if you are already working on building that for your future career and networking.  That way potential employers or internship leaders can see what sort of topics you have been mastering/learning more about. We Couldn’t Have Done It Without You! Thank you for the role each of you played in our transition from Cisco phones to Microsoft Teams Voice!  While there were some bumps along the way, overall, we were very pleased with how smoothly things went.  Thank you for your patience in adapting to a new way to handle phone calls, and with the removal of the old Cisco desk phones, which took longer than we had originally anticipated. We are grateful for the way you all partnered with us to help us steward college resources more wisely.  Without you onboard this change would have been a flop. Store Your Data in Campus-Provided Storage Several months ago, about thirty people across campus met with GreyCastle Security for a virtual cybersecurity tabletop exercise that simulated a ransomware attack.  Over the course of that exercise, we were reminded of the importance of where to store college data. Say, for example, that you are a faculty member generating research data.  If you store the data in Box, then it is backed up, has strong security controls protecting it, is accessible from anywhere, and could be recovered if something wretched happened, such as us being hit by ransomware.  However, if your data is stored on your own device, like a laptop, desktop computer, or USB flash drive, we would have no way to help you recover it if your device crashes or is stolen, or the data is encrypted by ransomware.  We encourage everyone to store all of their work-related data in our approved cloud storage systems (Box and Google Drive). Have you set up a photo of yourself on your Microsoft profile?  If not, you should!  By adding it to Microsoft Teams, your photo will appear in Outlook, as well.  This also means that if you’re using Microsoft Teams Voice and your camera is not on, your caller can see a picture of you instead of merely staring at your initials. While it may seem like a small thing, we would encourage you to set up a photo.  Especially in these days of required masking, it is an extra joy to see the faces of others, even as a still photo. Set Up Your Wheaton College Email Signature One thing we encourage all faculty and staff at Wheaton College to do is to set up an email signature on your Wheaton College email account.  Once you have it set up, people who receive an email from you can see at a glance your job title, phone number, and department.  This makes it much simpler for people to pick up the phone (or put on their headset!) and give you a call if they have a quick question that doesn’t require a long string of emails as a “paper trail.” Your department may have specific requirements of what your email signature should look like. Please follow whatever guidelines they give you. You can also create multiple signatures to use in different situations.  If you’re not sure what a signature should look like, feel free to use this example below. Read about how to create email signatures here.  You can even set up different signatures for people inside/outside the organization, or you can truncate signatures in certain circumstances. Using different signatures is also helpful if you wear several “hats” and monitor/reply to more than one email inbox.  Your signature helps the recipient of your email know what your role is.
